How to refer a patient to Professor Tom Hugh

What is the best way to refer?

Email a signed referral letter with imaging and pathology to info@hughmedical.com. That is the fastest complete pathway for most practices. Fax 02 9438 2278 if email is not available. Call 02 9438 2277 for urgent cases or same-day clinical questions.

Receptionist and admin checklist

Complete referral packs book faster. Before sending, check the letter is signed, results are attached, the patient’s mobile is current, and urgency is clear in the subject line if the case cannot wait for routine triage.
  • Confirm the referral letter is signed and dated
  • Attach imaging and pathology PDFs (or note where they can be accessed)
  • Use the patient's best mobile number so rooms can book them
  • Mark the email or fax subject with urgency if clinically time-critical
  • Advise the patient that the rooms will contact them to book
  • For emergencies, do not wait on clinic triage: direct to ED

Suggested email subject: Referral - [Patient surname] - [Urgency: routine / soon / urgent]. Tell the patient the rooms will call them to book; they do not need to chase unless they have not heard within a few business days.

What should a complete referral include?

A clear clinical question, urgency, and access to recent imaging and pathology allow timely triage. Incomplete results are the most common reason bookings are delayed.
  • Full patient name, date of birth, address and mobile number
  • Referring doctor name, practice, provider number and preferred reply channel
  • Clinical question and working diagnosis
  • Relevant history, medications and comorbidities
  • Recent blood results (and which pathology provider)
  • Imaging reports and, where possible, PACS access, disc or practice portal details
  • Urgency category (routine, soon, or urgent) and a brief reason
  • Medicare / DVA / private health details if already collected

Which patients are appropriate to refer?

Referrals are appropriate for specialist upper GI and HPB assessment of gallbladder disease, liver tumours, hernia repair, and selected biliary or oncological presentations. Second opinions are welcome. Patient-facing guides below can be shared for decision support.

What happens after you send the referral?

The rooms receive and triage the referral, contact the patient to book, then Professor Hugh assesses and writes back to the referrer. Surgery, if agreed, is at Royal North Shore Hospital (public) or North Shore Private Hospital (private).

When should patients go to emergency instead?

Severe abdominal pain, persistent vomiting, fever with biliary symptoms, jaundice with systemic illness, or a strangulated hernia should not wait for a routine clinic slot. Direct patients to the nearest emergency department and ask staff to contact the on-call HPB team at Royal North Shore Hospital when appropriate.

The rooms confirm receipt, triage by urgency, and contact the patient to arrange a consultation at the Tom Reeve Academic Surgical Clinic. Incomplete imaging is the most common reason booking is delayed.

Yes. A current GP or specialist referral is required for most appointments so Medicare rebates can apply. Reception teams should check the referral is in date before the patient attends.
